How do I set up a sync pair between Egnyte and SharePoint?

Start the synchronization wizard, select your Egnyte account and folder in the dashboard, then select your SharePoint account, document library and folder. For Egnyte, choose the production setup (Internal Application).

Step by step instructions: How to set up a sync between Egnyte and SharePoint.

How do I manage sync pairs between Egnyte and SharePoint?

Go to the Sync & Backup tab in the cloudHQ dashboard at https://www.cloudhq.net/synch. Click the small arrow at the left of a sync pair to open its details and reveal its buttons: Start (or Pause this Sync), View Sync Events, Modify Options, and Delete Sync Pair. Start All Syncs starts every paused sync pair, while Pause All Syncs pauses every sync pair. Deleting a sync pair does not delete any data — it only stops further syncing.

More details: How to manage sync pairs.

How do I troubleshoot my sync pair between Egnyte and Sharepoint?

A green sync pair icon next to the sync pair green sync icon next to a sync pair means “Sync running OK!” — the pair is running and has no error. It does not guarantee that all data has already been copied: during the initial transfer, the pair can still show green while the catalog of data and the initial data transfer are in progress. To confirm, check the pair’s sync events, its granularity (how often cloudHQ checks for changes), your Egnyte API limits, and the pair’s setup.

Next steps: See How to check that your Egnyte to SharePoint sync pair is working properly. If certain files are not being copied, see How to troubleshoot when certain files are not copied by sync.

Why haven't a new Egnyte folder and files appeared in SharePoint yet?

Most often, cloudHQ is still processing a large number of changes, the sync pair checks Egnyte only at its configured granularity (about every 10 minutes by default, but it can be set from roughly one minute to one month), or Egnyte API limits are slowing the sync down. Note that a green sync pair means the pair is active with no error — it does not confirm that all pending changes have been transferred. Open the sync events of your pair to see whether files and folders are actively being copied; look for events such as COPY NEW, COPY, and CREATE DIR.

How can I monitor my sync pairs between Egnyte and SharePoint

Open https://www.cloudhq.net/synch to check whether your sync pairs are running, along with the files transferred this week and any reported problems. Click View sync events for a general view of sync activity, or expand an individual sync pair and click View Events to see the status of that specific pair. If you see “View initial data transfer in progress,” the initial sync has not completed yet — an email confirms when the initial synchronization finishes.

What does the "Catalog" event mean in sync events?

A CATALOG event means that cloudHQ encountered files or folders that already exist on both sides but are not yet in its database — for example, because they were transferred by some other method — so it catalogs them to ensure consistency. Nothing is copied for this line: cloudHQ downloads both files and compares them, then performs additional checks to make sure no other system is copying in parallel, which prevents corruption of your data. Cataloging is a very extensive operation (roughly 2x to 3x more intensive than syncing), so it can look as if nothing is happening from the front end — please be patient while cloudHQ catalogs and transfers all files so it can start syncing while ensuring consistency.

How frequently does cloudHQ check Egnyte for changes?

A sync pair with Egnyte checks for changes about every 10 minutes by default. You can change this in Modify Options under Adjust the granularity of your sync or backup process, which offers intervals from every 1 minute to every 24 hours (for example 1, 5, 10, 15, and 30 minutes, then 1, 2, 3, 4, 5, 6, 9, 12, and 24 hours). A longer interval means fewer Egnyte API calls, while a shorter interval keeps data more up to date but consumes more of your Egnyte API quota.

See How to adjust time granularity option for sync pairs with Egnyte.

What are the API call limits for Egnyte?

Egnyte limits the number of API calls that applications can make. If the limit is reached, the sync becomes slow or temporarily stops. For production use, set up an Egnyte Internal Application with your own API credentials rather than the shared testing key, which has only a limited number of free API calls. Once your Internal Application is approved, contact Egnyte support to request an increase in your API quota — approval can take up to 48 hours, and Egnyte support can advise on the exact figures. A typical starting point for a new backup or migration is about 500,000 calls per day during the first month (roughly 300,000 to 450,000 files per day); after the initial transfer, daily usage is about twice the number of modified files each day.

See How to set up internal application for Egnyte backup or sync and Troubleshooting internal application for Egnyte backup or sync.

What's the difference between Egnyte Private and Shared folders?

See Understanding Egnyte Private and Shared Folders to learn how Egnyte stores files: the Shared folder is your domain’s central directory (files must sit inside a subfolder, the folder itself cannot be deleted, and its name, description, and permissions are fixed), while Private folders are owned by individual Administrators and Power Users for confidential documents. This matters for a sync pair, because a file is synced only if the connected Egnyte account can see it — Administrators can access every Private folder in the domain, whereas each user sees only their own (plus the “All Private Folders” section for others, if permissions allow).

What is a SharePoint site in Microsoft 365?

A SharePoint site is like a website, but by default it is not public — it is accessible only to the people you give permissions to. It is designed for sharing and collaborating on files, and it can contain document libraries, subsites, and other content. Note that SharePoint (with all its sites and document libraries) is not the same as OneDrive for Business, which is more like storing files on your own computer for personal use.

See Understanding Office 365 SharePoint.

What is a document library in SharePoint?

A document library is where files and folders are stored inside a SharePoint site. In cloudHQ, the hierarchy when selecting a target is: the first level is the SharePoint site, the second level is the document library, and the third level and below are folders inside that library. Note that SharePoint is more than simple cloud storage, and SharePoint (with all its sites and document libraries) is not the same as OneDrive for Business — OneDrive for Business is more like storing files on your own computer, for files you work on by yourself.

See Understanding Office 365 SharePoint.

How do I choose the SharePoint document library for a sync pair?

After you select your SharePoint account, open the site: click the arrow next to a SharePoint site to expand it, then open the document library and click the library or a folder inside it where you want the Egnyte files. If you cannot find your site or document library, click Search or Enter Site URL and type part of the site name (more than 2 characters) or the site address. The line Selected: under the tree shows the path of the item you clicked, and you can click Create folder to make a new one. Select a document library or a folder inside it — not a SharePoint page address — then click Select ».

How do I set up a one-way sync between Egnyte and SharePoint?

In the wizard, click Switch to one-way sync (the button between the two service boxes) to turn a two-way sync into a one-way sync. With a one-way sync, changes you make in the first service (for example Egnyte) are copied to the second service (SharePoint), but changes made only in SharePoint are not copied back to Egnyte — make your changes in the first service. The page title changes to Backup / Migration Wizard, the arrow between the boxes points only to the right, and the button then reads Switch to two-way sync if you want to revert.

See What is sync pair?

How do I set up a two-way sync between Egnyte and SharePoint?

A two-way sync propagates supported changes in both directions. If you did not click Switch to one-way sync in the wizard, your sync pair is two-way by default. If your pair is currently one-way, open Modify Options and click Switch to two-way sync. Before enabling it, review conflict handling and deletion options, since changes can flow in both directions.

See What is sync pair?

How do I skip certain folders in my sync?

Yes. Open Modify Options for the sync pair, check Exclude folders from sync, and untick the folders you want to skip.

Are file dates and owners preserved when syncing to SharePoint?

To copy metadata such as creation time and file ownership into SharePoint, cloudHQ also needs to be installed on your Microsoft 365 domain. This requires you to be a Microsoft 365 admin: go to the Microsoft 365 Admin Portal to confirm your admin role, then authorize cloudHQ at https://www.cloudhq.net/services by clicking the Microsoft 365 icon and accepting the authorization prompt. Note that Microsoft 365 Mail and OneDrive accounts must be fully provisioned first (each user needs to be provisioned and log in at least once), and to back up or sync a user’s OneDrive, an admin must be added as an admin to that user’s personal site — otherwise cloudHQ will show a warning during setup.

See How to install cloudHQ to your Microsoft 365 (Office 365) domain.

What are the file name and path length limits in SharePoint?

p>Yes. Office 365 SharePoint and OneDrive for Business allow a maximum **pathname of 400 characters** for files and folders. This limit applies to the total length of the URL path to the folder or file — including the protocol, server name, folder path, and file name — but not to the length of any parameters. The limit applies only to un-encoded URLs, not encoded ones. Files or folders that break these rules cannot be copied by the sync.

See Office 365 SharePoint and OneDrive for Business pathname limitations.

How does cloudHQ protect the privacy of my data?

Our privacy policy is simple: any information we receive from you is not shared with anyone else, and we never use it for anything that is not absolutely necessary to provide the service. All your data is secured and encrypted — both at rest and in transit. For example, we do not share your information with advertisers or third parties.

See How does cloudHQ handle the privacy of my data? More about our privacy policy: https://www.cloudhq.net/privacy. The list of cloudHQ sub-processors: https://www.cloudhq.net/subprocessors.

How does cloudHQ protect the security of my data?

We do not store your files on our servers (we only replicate them), we use only encrypted SSL to communicate with cloud services, and we never store your passwords — not even hashed ones — because everything is based on OAuth and OpenID. Our product software and infrastructure are updated regularly with the latest security patches, and our network is protected by an enterprise-class firewall. All OAuth tokens (and passwords, for services that do not support OAuth) are encrypted using 256-bit AES encryption, and our employees are forbidden from viewing your filenames or downloading your files — if support needs to access filenames or file content, we will ask for your explicit permission, and all access is logged so you can request audit logs.

How are licenses counted in cloudHQ?

A user is one personal email address (for example, name@yourcompany.com) whose cloud account is synced, backed up, or migrated — even if that user uses many cloud apps, it still counts as one user. For Egnyte, each active Power User is counted as one cloudHQ user, regardless of which folders you sync or back up (for example, 9 active Power Users out of 25 means 9 licenses). For Google Shared Drives, Dropbox Team Folders, Microsoft 365 Document Libraries, and Box Team Folders, each file author (creator) in that team folder or drive from the same domain is counted as one user — cloudHQ counts the author, not who has access or download permissions. During the initial scan, cloudHQ detects all unique file creators and updates your account with the required number of licenses.

See What is a user in cloudHQ Business Plan (Backup, Sync and Migration)?

How do I upgrade my cloudHQ plan or add more licenses?

Log in to cloudHQ at https://www.cloudhq.net/login (or click the cloudHQ icon in the top-right corner of Gmail and then Go to Dashboard), and click My Account in the top-right corner of the screen next to your email address. Scroll down to the Application section, make sure the application you want to add licenses to is selected in the dropdown menu, then click Add licenses to the right of that menu and enter the number of additional licenses you want to add. To upgrade to a Premium subscription instead, open your Account page directly from the website.

Note: To downgrade to fewer licenses, email support@cloudhq.net before your next billing cycle if you pay by credit or debit card. If you pay by PayPal, cancel your subscription — the plan reverts to free on the next billing cycle, and you can then upgrade to the correct number of licenses.

See How to upgrade to a paid subscription and How to add licenses to an existing subscription.
