How do I manage the users of my cloudHQ team?
Go to the Users page in your cloudHQ dashboard. Every member of your team appears on that page. You’ll see three kinds of users: users who have a cloudHQ account you can access, users who have a cloudHQ account you can’t access or manage, and users who have no cloudHQ account but whose data gets backed up, synced or migrated. To see what you can do with a person, click Manage user » next to their name. From there you can log in to their account, delete their cloudHQ account, remove them from the team, or make them a co-admin. For more detail, read the support note IT admin: How to manage cloudHQ users.
How do I invite users to my team and give them licences?
Open the Users page and click Add Users via Invite ». Type in the email addresses of the people you want to add, write a short message, then click Send Invite. Everyone you invited receives an email with a secure link. They sign up for a cloudHQ account or log in to an existing one, then authorize their cloud accounts. Once they do that, their names show up on your Users page and one of your licences covers them. You can find more details in the support note IT admin: How to distribute licenses and invite users to join your cloudHQ team.
I am a Google Workspace admin. Can I add my users without sending invitations?
Yes, as long as you’re a super admin on your Google Workspace domain. The first thing to do is install cloudHQ on the domain: go to the Users page and click Install cloudHQ on your Google Workspace. Confirm your admin email address, then give cloudHQ access. Your domain also needs the Google Workspace Administrative API turned on. Once the install is done, the Users page shows the users from your Google Workspace. Next to each person you want on your team, click Add user. You don’t have to send an invitation email. For the full walkthrough, see the support note IT admin: How to add Google Workspace users to join your cloudHQ team. There’s also a video about installing cloudHQ on your Google Workspace domain.

The support note How to install cloudHQ extensions on your employee’s Chrome browsers has more on this.

What is a co-admin?
A co-admin is a second person who manages the cloudHQ setup of your company: the team members, the company backups and sync pairs, the shared labels. They sign in with their own email address and password, and after that they see and manage that setup the same way you do: sync pairs, backups and shares, connected cloud accounts, team members, and the settings of each cloudHQ app. The subscription stays in your hands, and so does the co-admin list. The support note IT admin: What is a co-admin and when to use one covers the rest.
How do I invite a co-admin?

Type the email address of the person you want to add, then tick the box next to This user is a co-admin: they will see and manage your cloudHQ account exactly as you do. If you want them out of the team as well, click Remove user from the team on the Manage user page. To delete their account, click Delete user’s cloudHQ account. The list of co-admins is off limits too: a co-admin can’t invite new ones, revoke them or remove them. Giving up the role is not something they can do, and they can’t leave the team by themselves either. For more details, read the support note IT admin: What is a co-admin and when to use one.

How does a co-admin switch between my account and their own account?
When a co-admin works as co-admin, a yellow banner on every page of the dashboard names the admin whose setup they manage. By clicking the Switch to my own account » link in that banner, they get to their own cloudHQ account. Clicking Act as co-admin » takes them back. cloudHQ remembers that choice on every browser and device, and the cloudHQ Chrome extensions follow it. A co-admin who is in their own account is marked (currently working in their own account) on your Users page. You can read more in the support note IT admin: How to use a co-admin account.
The co-admin invitation was sent to an alias of the person. Can they still accept it?
Yes. If the person signs in with an address that isn’t the invited one, the invitation page gives them the option to send a 6-digit code to the invited address. They click Send the code to <invited address> », enter the code they got by email, then click Confirm and accept ». The code stays valid for 15 minutes, and they get 5 wrong entries. Once 10 codes have been sent or 20 wrong entries made, the invitation is locked and a new one has to be sent. You can read more in the support note IT admin: How to use a co-admin account.
