Here are step-by-step instructions for how to set up a sync between Egnyte and Microsoft 365 SharePoint with cloudHQ. Each step tells you what to click and what you will see after you click.

Before you start

Step 1: Open the Sync & Backup tab and click Add New Sync Pair

Click: log in to cloudHQ and click the Sync & Backup tab (next to Dashboards, Share, Cloud Accounts and Users), or go directly to https://www.cloudhq.net/synch.

You will see: the sync dashboard. The button you need is Add New Sync Pair.

The page has three parts:

  1. Status, at the top:
    • The first line tells you if your syncs are running. “Real time synchronization is running.” means all your sync pairs are running. “Some sync pairs are stopped.” means at least one pair is paused. “Real time synchronization is not running – all sync pairs are stopped.” means all pairs are paused.
    • “We transferred <number> files (<size>)” is the total. “This week (since <date>) we transferred <number> files (<size>)” is what was copied this week.
    • “<number> files have problems with sync” opens the list of files that could not be copied (View problems).
    • View sync events (clock icon, top right) opens the timeline of everything cloudHQ did. Request Sync or Backup Report asks for a report of your sync.
  2. Controls:
    • Add New Sync Pair starts the setup. This is the button to click now.
    • Pause All Syncs pauses all your sync pairs.
    • Start All Syncs starts the paused pairs again. It is shown when some of your pairs are stopped.

    The same buttons are repeated at the bottom of the page.

  3. Sync Pairs: your sync pairs, in groups. Each group shows its name in bold and the number of pairs (“5 Sync Pairs”) on the right. Click the row of a group to open or close it. If you have 20 or more sync pairs, the groups start closed. Use Sort By to change the order, and the Search box to find a pair.

Click: Add New Sync Pair.

You will see: the page What Do You Want to Do? with two choices: Create One Sync Pair (sync, back up or migrate two cloud folders) and For IT Admins: Multiple Users Set Up (sync, back up or migrate the accounts of many users of your company).

Step 2: Choose Create One Sync Pair

Click: Create One Sync Pair » (the left choice). Choose this when you want to sync one Egnyte folder with one SharePoint document library. The multiple users setup is for IT admins who set up all users of a company at once.

You will see: the page Two-Way Sync Wizard. The address starts with https://www.cloudhq.net/synch_wizard. At the top are two empty boxes with an arrow between them: the left box is the first service and the right box is the second service. Under them, Select Service shows icons of the cloud services you can choose (Google Drive, Dropbox, Box, Microsoft 365 SharePoint, Microsoft 365 OneDrive, Egnyte, Amazon S3 and others). The button Switch to one-way sync is between the two boxes.

Step 3: Choose one-way or two-way sync

A two-way sync propagates supported changes in both directions. Review conflict handling and deletion options before enabling it. A one-way sync copies changes only from the first service to the second one: changes you make in Egnyte appear in SharePoint, but changes made only in SharePoint are not copied back to Egnyte.

Click: Switch to one-way sync, if you want a one-way sync. If you want a two-way sync, do not click it and go to step 4.

You will see: the page title changes to Backup / Migration Wizard, the arrow between the boxes points only to the right, and the button now says Switch to two-way sync. Click that button if you change your mind.

Step 4: Choose Egnyte and select your Egnyte account

Click: the Egnyte icon in Select Service.

You will see: the Egnyte icon in the first (left) box and the page Select Account. It lists your Egnyte accounts, each with a Select button. Below it is Or Connect a New Egnyte Account.

  • You already connected your Egnyte account: click Select next to it.
  • You connect a new Egnyte account: type your Egnyte Account name (for example yourcompany.egnyte.com) and choose the type of the Egnyte application. This setup is for testing and trial uses the shared cloudHQ key with a limited number of free API calls. This setup is designed for production environments uses your own Egnyte Internal Application. For a real sync, choose the production option. Then click Add Egnyte and follow the instructions on the screen. Cancel returns to the previous page.

Step 5: Select the Egnyte folder

Click: the arrow next to a folder to open it, then click the folder you want to sync.

You will see: the page Select folder with a tree of your Egnyte account. The top level has Private and Shared. When you click a folder, it is highlighted and the line Selected: under the tree shows its full path. You can click Create folder to make a new folder, or Cancel.

Click: Select » when the path in the Selected: line is the folder you want.

Step 6: Choose Microsoft 365 SharePoint and select your account

Click: the Microsoft 365 SharePoint icon in Select Service.

You will see: the Egnyte icon in the left box (with a details link under it), the SharePoint icon in the right box, and the page Select Account. It lists your Microsoft 365 SharePoint accounts, each with a Select button. Below it is Or Connect a New Microsoft 365 SharePoint.

  • Your SharePoint account is already connected: click Select next to it.
  • You connect a new account: click Add Microsoft 365 SharePoint. You are forwarded to the Microsoft authorization page. Sign in there and accept to authorize cloudHQ, and you return to the wizard.

Step 7: Select the SharePoint document library or folder

Click: the arrow next to a SharePoint site to open it, open the document library, and click the library or the folder inside it where you want the Egnyte files.

You will see: the page Select SharePoint document library or folder to sync, with a tree: SharePoint sites on the first level, document libraries on the second level, folders on the third level and below. When you click an item, the line Selected: shows its path. You can click Create folder to make a new folder, or Cancel.

  • You cannot find your site or document library: click Search or Enter Site URL and type part of the site name (more than 2 characters) or the site address.
  • Select a document library or a folder inside it, not a SharePoint page address.

Click: Select ».

Step 8: Check your selection and click OK

You will see: a window Notification: Please double-check your selection. It says “You are about to create the following sync pair” and shows the Egnyte folder, an arrow, and the SharePoint folder, with the two accounts. For a one-way sync it explains that the arrow means the content of the first folder will appear inside the second folder.

Click: OK, if the two folders are correct. If they are not, close the window and select the folders again.

Step 9: Check the synchronization options

You will see: the page Synchronization Options with the two services, and at the bottom the message Synchronization is already running. The sync pair is created and the sync starts automatically. You can leave the options as they are, or change them:

  • “Synchronization is one-way: only changes you make on the first service will appear in the second service.” appears for a one-way sync. Make your changes in the first service (Egnyte), not in SharePoint.
  • Adjust the granularity of your sync or backup process: how often cloudHQ checks for changes (for example “check and sync every 10 minutes”). Egnyte limits API calls, so a longer time means fewer Egnyte API calls. See How to adjust time granularity option for sync pairs with Egnyte.
  • Exclude folders from sync: check it to skip some folders.
  • Archive files before they are changed or deleted by sync, Automatically re-copy files if we detect tampering of copies on the target, Replicate deletion and Automatically delete all files on the target (backup location) which are not created by cloudHQ (under Show advanced options): advanced options that can affect file retention or delete content at the destination. Review the Learn more link for each option and confirm its behavior before enabling it.

Step 10: See your new sync pair in the sync console

Click: the Sync & Backup tab (or go to https://www.cloudhq.net/synch).

You will see: the sync dashboard again, now with your new sync pair:

  • At the top, in Status: a message that the initial transfer of data and the cataloging of metadata are in progress. During the initial transfer only the old data, which is already stored in your cloud service, is copied. You do not need to keep your computer or browser open, because the transfer is done in the cloud by cloudHQ servers. cloudHQ sends an email to your address as soon as the initial transfer finishes.
  • In Sync Pairs: your new pair is in a group named after your source account. Click the row of the group to open it. The row of the pair shows the Egnyte folder on the left, an arrow, and the SharePoint folder on the right, with a green icon at the end. The green icon means that the sync is running without an error.
  • Click the small arrow at the left of the pair to see its details: Source and Target with the full paths, and a red message “Catalog of data and initial data transfer is in progress. We will send you an email as soon as the initial transfer finishes.” (Learn more opens What is initial transfer of data?). When most of the data is copied, the message changes to “The majority of data has been transferred and we are verifying the data.” Under it, Archive all changes shows YES or NO.
  • The buttons of the pair: Pause (and Start to run it again), View Sync Events (the timeline of this pair), Modify Options (the options page from step 9) and Delete Sync Pair.

What happens next

  • An email confirms that the initial synchronization has finished. See How to monitor sync, backup or migration.
  • A sync pair with Egnyte checks for changes about every 10 minutes by default. You can change this in Modify Options.
  • A green sync pair means that the sync is running, not that everything is already copied. If a folder or file does not arrive in SharePoint, follow the steps in How to check that your Egnyte to SharePoint sync pair is working properly.
  • Egnyte limits the number of API calls. If you reach the limit, the sync becomes slow or stops. The same note explains how to check it.
