Introduction
This note walks you through copying the contents of an Egnyte folder into a Microsoft 365 SharePoint document library, using a one-way sync pair in cloudHQ. With one-way, the only changes that reach SharePoint are the ones you make in Egnyte. Whatever you change in SharePoint doesn’t travel back to Egnyte.
Each step tells you what to click and what the page displays afterward. When you reach the end, you’ll see which options are switched on or off for the new pair, and how the pair behaves while your data is being copied for the first time.
Before you start
- Log in to cloudHQ, then go to the Cloud Accounts tab (https://www.cloudhq.net/services).
- Make sure Egnyte and Microsoft 365 SharePoint both show up in your list of cloud accounts, and that neither one has an Authorization Error beside it. If an account isn’t listed there, add it before you continue. You always handle the Egnyte and Microsoft sign-in and permission pages yourself.
- Get the Egnyte folder and the SharePoint document library ready.
Create the sync pair
- Open the wizard
Go to the Sync & Backup tab and click the Add New Sync Pair button. The page What Do You Want to Do? appears. Click the Create One Sync Pair » button on it. The second button there, For IT Admins: Multiple Users Set Up », is the one you want when many users have to be set up at the same time.
- Choose one-way sync
The wizard comes up set for two-way sync. Click the Switch to one-way sync button. Now the title reads Backup / Migration Wizard, and the arrow between the two boxes points one way only. - Choose the Egnyte folder
Find the Select Service list and click the Egnyte icon. It shows up in the first box.Your Egnyte account sits under Select Account. Click the Select button beside it.
The Select folder tree opens folders with the small arrows. Open them until you reach the folder to copy and click it. The full path shows on the Selected: line. Click the Select » button when the right folder is picked.
- Choose the SharePoint document library
The second box is active now. Click the Microsoft 365 SharePoint icon.Under Select Account you’ll see your Microsoft 365 account. Click the Select button next to it.
In the tree Select SharePoint document library or folder to sync. open your site, then click the document library or a folder inside it. The Selected: line shows the site and the library. Click the Select » button. If your site or library is missing, click Search or Enter Site URL. Pick a document library or a folder in it every time, never the address of a page.
- Check your selection and click OK
A window titled Please double-check your selection lists the sync pair about to be created, from the Egnyte folder to the SharePoint library. The arrow -> tells you the sync is one-way: whatever is in the first folder ends up inside the second one. Read it over and click the OK button. Sync starts right away, and there’s no separate start button.
The synchronization options
Once you click OK, the Synchronization Options page opens and shows Synchronization is already running. This page reminds you that the sync goes one way only: changes you make on the first service are the only ones that show up in the second service.
To see the last two options, click Show advanced options.
The new pair ended up with these settings in our test. Nothing has to be changed for the pair to work.
- Granularity: check and sync every 10 minutes. You pick one value from this list. Egnyte puts a cap on API calls, so a lower granularity means fewer calls, and a higher one gives you a faster (real-time) sync that uses more Egnyte API calls.
- Exclude folders from sync: off. Switch it on if certain folders should not be copied.
- Archive files before they are changed or deleted by sync: off. With it on, cloudHQ keeps a copy of a file in a “cloudHQ_archive” folder before sync changes or deletes that file, so earlier versions can be restored. A backup needs it on.
- Automatically re-copy files if we detect tampering of copies on the target: on. When someone changes or deletes a file on the SharePoint side, cloudHQ copies the original from Egnyte once more. A backup needs it on.
- Replicate deletion: on. Delete a file in Egnyte and it is deleted on the SharePoint side as well. Those deleted files stay protected when the archive option is on. A backup needs it on.
- Automatically delete all files on the target which are not created by cloudHQ: off. When you switch it on, cloudHQ also removes files in SharePoint that were not created by cloudHQ. Leave it off unless you know what you are doing.
See the initial transfer in progress
Open the Sync & Backup tab one more time (https://www.cloudhq.net/synch). The Status at the top shows that the first transfer of data is running. While this first transfer runs, only old data gets copied, meaning the data already sitting in the cloud service. You don’t have to keep your computer or browser open. The transfer runs on our servers, and you get an email once it’s done.
In Sync Pairs, open the group that carries the name of your Egnyte account. The pair lists the source, the target, and one red line: Catalog of data and initial data transfer is in progress. We will send you an email as soon as the initial transfer finishes. The buttons below it are Pause, View Sync Events, Modify Options and Delete Sync Pair.
Next Steps
- Once the email shows up, check that your Egnyte to SharePoint sync pair is working properly.
- Got questions? The answers are in the Egnyte and SharePoint sync FAQ.
