Introduction
Email Signature Generator by cloudHQ lets you put a QR code in your Gmail signature. A QR code is that small square picture people scan with their phone camera. Once it’s scanned, a web page opens on the phone, so there’s no need for anyone to type your details or a long link.
By default, the QR code opens your contact page. Each signature you save gets its own contact page, a plain page that shows your photo, name, title, company, phone, email, website and address, plus an Add to contacts button. Tap that button once and you’re saved as a new contact on the phone. You can also point the code at any other address, like your booking page or your website.
The QR code appears under your signature, with a short title sitting above it. If someone reads your email on a computer, they can click the code to open the same page.
Use Cases
People add a QR code to their email signature for these reasons:
- Let people save your contact details in one scan
A lot of people read email on a computer but make calls from their phone. They aim the phone camera at your QR code, tap Add to contacts, and the phone saves your name, phone numbers, email, photo and company. No one has to type your number, so no one mistypes it.
- Use the same contact page on your business cards
Your contact page keeps the same link. You can print that link on business cards, flyers and brochures as well. If your phone number or job title changes, you update the signature and the page shows the new details anywhere the link appears.
- Get more meetings booked
Set the code to open your booking page. A prospect scans it, picks a time for a call on the spot, and never has to hunt for the link in the email.
- Send people to your website or a special offer
Set the code to your website, a product page, a sale, an event sign-up page or the page where customers leave a review. When your campaign changes, you change the address.
- Emails that get printed
Quotes, invoices, contracts and confirmations often end up on paper. You can’t click a link on paper, yet a QR code on paper still works.
- Real estate agents and other licensed professionals
After a showing or an open house, clients can save your details to their phone. Fill in the License # field on the Details tab and your contact page and the saved contact both show your license number.
- A QR code for every member of your team
With Email Signature Generator for Teams, the admin adds the QR code to the team template one time. When the template is applied, each team member gets a contact page and a QR code of their own.
Add a QR code that opens your contact page
- Open the signature editor
In Gmail, click Compose. In the toolbar at the bottom of the new message, click the Email Signature Generator button. Another way is to open the Email Signature Generator dashboard and click Edit signature beside your signature. If you have no signature yet, start with Getting started with Email Signature Generator. - Check the details for your contact page
Open the Details tab. The details you type here are the ones shown on your contact page: your photo, name, title, company, License #, phone, mobile, email, website and address. The social profiles from your signature appear there as well. If you don’t want a field on the page, leave that field blank.Below the fields there is a Contact page row, with the link to your page in it. Click Copy if you want the link copied, or click Open to view the page. When the signature is new, the page goes live as soon as you save it.
- Turn on the QR code
Open the Extensions tab and turn on the switch beside QR code. Leave My contact page selected next to Opens. The address of your contact page sits in the Link row, and the code shows up under your signature in the preview. - Set the title above the code
Above the code you see the title “Scan to add me to your contacts”. Type your own wording in the Title box. If you want the code with no title at all, clear the box. - Save the signature
Click Save Signature. Your contact page is live now, and each new email you write in Gmail carries the QR code under your signature. The signature is stored in your Gmail settings too, so the QR code also appears in emails you send from the Gmail app on your phone.
Make the QR code open another address
- Choose An address
Go to the Extensions tab and find the QR code section. Next to Opens, click An address. The title becomes “Scan to book a meeting”, and your cloudHQ booking page link appears in the URL box. - Type the address
Put the address you want into the URL box. You can type it or paste it. It can be your website or your booking page, for example. Once you stop typing, the QR code in the preview updates after a moment. A scan of the code opens that exact address, so test it once in your browser first. - Set the title and save
Edit the text in the Title box to tell people what they get from the scan. For example: “Scan to visit our website”. After that, click Save Signature.
What people see when they scan the code
The person aims their phone camera at the QR code and taps the link that appears on the screen. Once the code opens your contact page, here is what they get:
- your photo (or your initials), along with your name, your title and company, and your license number
- Add to contacts: this saves you as a new contact on the phone, together with your photo, phone numbers, email, website and address
- Call, Email, Website and Address (the address opens in Google Maps)
- links to your social profiles
Only the details from your signature appear on the contact page. Search engines won’t list it, but anyone who has the link or scans the code can open it, so keep on the page only what you’re happy to share.
Change, move or remove the QR code
- Change your details: go to the Details tab, make your edits and click Save Signature. Your contact page then shows the updated details. The link and the QR code don’t change, so any code you’ve already printed or sent still works.
- Move the code: open the Extensions tab and drag the QR code section by its handle (the icon with three lines). You can place the code above or below the other extensions in your signature, like a banner or a disclaimer.
- Remove the code: switch off the toggle next to QR code, then click Save Signature.
QR codes in team signatures
In Email Signature Generator for Teams, the admin switches on the QR code in the team template and leaves My contact page selected. Once the template is applied, each team member gets a contact page of their own with their own details, plus a QR code that opens that page. If the admin picks An address instead, they can put merge tags in the URL box, and each member’s code is built from that member’s own values.
