Introduction

When you open a signature to edit it in Email Signature Generator by cloudHQ, the Details tab displays a Contact page row beneath your details. In that row is a link, for example https://www.cloudhq.net/vc/<code>, plus the buttons Copy and Open. This article explains what the link is and how you use it.

The link opens your signature’s contact page. That page is a small web page built from the details in your signature: your picture, full name, job title, company, phone numbers, email, website, address and the profiles you added from social networks. Under your name sits an Add to contacts button. Tap it once and you’re saved as a new contact on the phone, since the button sends a contact card (a vCard file).

Each signature you save gets its own contact page and its own link. There’s nothing to build or host: the page comes from your signature and updates when you save the signature. Share the link anywhere people should be able to save your details, or let your signature’s QR code open it.

Use Cases

People share the contact page of their signature for these reasons:

  1. Let people save your details with one tap

No one has to retype your name, phone number and email from a message into their phone. They open the link on the phone, tap Add to contacts, and your details and photo get saved with no typos.

  2. One link for business cards, flyers and your website

Your contact page link stays the same over time. You can put it on business cards, flyers, your website or proposals. If your phone number or title changes, update the signature and everyone who opens the link sees the new details.

  3. Share your contact in chats and on social profiles

Drop the link into a chat message, a text message or the contact section of your social profiles. The other person opens it on the phone and saves you as a contact there and then.

  4. A QR code in your signature

Your signature’s QR code can open your contact page. Anyone reading your email on a computer scans the code with their phone and saves you as a contact. See How to add a QR code to your email signature.

  5. Real estate agents and other licensed professionals

Type your number into the License # field on the Details tab and your license number shows on the contact page and in the saved contact. The Realestate – Priceless template comes with a “Save this agent” link that opens your contact page.

  6. A contact page for every member of your team

Using Email Signature Generator for Teams, each team member gets a contact page with their own details. No one has to set it up by hand.

The Contact page link in the signature editor

  1. Open the signature editor
In Gmail, click Compose. In the toolbar at the bottom of the new message, click the Email Signature Generator button. Another way is to open the Email Signature Generator dashboard and click Edit signature next to your signature. If you have no signature yet, work through Getting started with Email Signature Generator first.
  2. Find the Contact page row on the Details tab
Open the Details tab. Below the fields that hold your details is the Contact page row. The text under the link describes the page: “A public page with the details above and an Add to contacts button. Put it on a business card, or let the QR code open it.”

The row may show a note too:

    • “The page goes live when you save the signature.” shows under the link when the signature is new. The link is there already, and it starts working after you click Save Signature.
    • “Save your signature to get your contact page.” shows in place of the link when you are not signed in to cloudHQ. In that case the signature has no page yet.
    • “Each team member gets their own contact page at rollout.” shows in place of the link when you are editing a team template (see Contact pages for your team).
  3. Copy or open the link
Click Copy and the link is copied. Click Open and your contact page opens in a new tab. The link box can’t be edited. To select the whole link, click into it. When the code opens My contact page, the same link sits on the Extensions tab, in the Link row of the QR code section.
  4. Share the link
Paste the link anywhere people should find your details. A chat works, and so do your website, your business cards and your social profiles. If you want the link inside your email signature as a QR code, switch on the QR code on the Extensions tab and leave My contact page selected next to Opens.

Sometimes you want a link that saves the contact card without showing the page first. Add .vcf at the end of the link: https://www.cloudhq.net/vc/<code>.vcf. The Add to contacts button uses this link.

What is on your contact page

Only the details you entered on the Details and Social profiles tabs appear on the contact page:

  • your photo (or your initials if you have no photo), your name, your title and company, and your license number
  • Add to contacts: adds you to the phone’s contacts as a new entry
  • Call: dials the number in the Phone field, and when the Phone field is empty it calls the Mobile number
  • Email: opens an email to the address in the Email field, and if that field is empty it uses the address of the signature
  • Website and Address (the address opens in Google Maps)
  • links to your social profiles

When a field is empty, its button is hidden. Under the card you see the line “Signature made with Email Signature Generator by cloudHQ”. The page opens fine on phones and on computers.

What Add to contacts saves on the phone

Tapping Add to contacts makes the page send a contact card, which is a vCard, a file ending in .vcf. On some phones the new contact shows up straight away. On others the file downloads first, and the contact gets added once you open that file. The card holds:

  • your name, company and title
  • a photo of you
  • your phone number and your mobile number
  • your email address, your website and your address
  • your license number, kept in the contact’s notes
  • your social profiles (on an iPhone they appear on the contact, on other phones they might not show up)

Keep your contact page up to date

  • Change your details: open the Details tab, make your edits, then click Save Signature. Your contact page displays the new details at once. The link itself doesn’t change, so any links and QR codes you’ve shared still work. Details that people already saved to their phones stay as they were.
  • One page per signature: each signature comes with its own contact page and its own link. If you click Duplicate to copy a signature, the copy arrives with a new link.
  • Take the page offline: once you delete the signature, the page no longer works.

Who can open your contact page

Anyone with the link can open your contact page, and so can anyone who scans a QR code that points to it. The link ends in a long random code, so it can’t be guessed, and search engines won’t list the page. Only the details in your signature appear on the page, so if you’d rather keep a field off it, leave that field empty on the Details tab.

Contact pages for your team

In Email Signature Generator for Teams, a team template doesn’t have a contact page of its own, so its Contact page row shows “Each team member gets their own contact page at rollout”. Once you apply the template to the team’s signatures, each member gets a contact page with their own details and their own link. If a QR code opens My contact page in the template, or the code comes from the Backstage Pass template, it opens the page of each member.
