Introduction
Email File Request by cloudHQ lets you request and receive files straight into your Google Drive. You can create a shareable file request link, pick any Google Drive or Shared Drive folder, and send the link so people can upload files without a Google account. You can manage all requests from your dashboard.
This is helpful when you need people to send documents, signed forms, images, or other files in an organized way, instead of getting many email attachments. With Email File Request, uploaded files go directly to the Google Drive folder you choose, making it easier to collect and manage submissions.
Use Cases
Here are some common use cases for Email File Request:
- Collecting client documents
Lawyers, accountants, and consultants can send a file request link to clients and have contracts, IDs, tax forms, and other documents uploaded to the right Google Drive folder.
- Receiving files from external partners
Teams working with vendors, agencies, or freelancers can request deliverables without asking contributors to share a Drive folder or create a Google account.
- Organizing project submissions
Internal teams can collect screenshots, design files, reports, and other project materials in one place, instead of handling large email attachments across many threads.
Installing the extension and creating your first File Request
- Install the browser extension Email File Request by cloudHQ.
- After install and account setup, you can start creating and inserting file requests into your Gmail emails.
- Compose a new email and click the Create File Request icon:
- If this is your first time using the extension, click Create New File Request:
- All uploads from your file request go to Google Drive. Select the Google Drive folder where files will be uploaded.
- Name your file request:
- The file request will be added to your email. Now you can send it to your recipient.
When recipients get the email and click the link, they are taken to a page like this:
In addition to uploading files, they also need to enter their name and email.
Using the Dashboard and Managing File Requests
The File Request dashboard shows all your file requests in one place. Active requests are under the Active tab, and closed requests are under the Closed tab.
From the dashboard, you can review your requests, see their names, and check when they were created. It is a central place to manage all file requests.
Editing and Closing Requests
Each file request in the dashboard has action icons:
- Link icon: Copies the file request link to your clipboard.
- Edit icon: Edits the request.
- Lock icon: Closes the request.
When you close a request, it will no longer accept uploads and will move out of the active list. Use this when you no longer want people to upload files for that request.
To reuse or share a request link again, use the link icon to copy it. To change details, use the edit icon to update the request from the dashboard.
