Video overview: How it works.
Introduction
File Request by cloudHQ lets you create a secure upload link that recipients can use to send files directly to a Google Drive folder you choose. By adding this File Request link to a MailKing or Gmail Auto Follow Up campaign, you can automatically ask many recipients to submit documents, forms, images, reports, or other files without sending each person a separate manual request.
This is useful when your campaign is part of a workflow that requires the recipient to send something back, such as client documents, onboarding files, project materials, applications, or supporting paperwork. Instead of asking recipients to reply with attachments, you can include a clear upload button in the email template and collect all submissions in one organized location.
Use Cases
Here are common ways to use File Request links in MailKing or Gmail Auto Follow Up campaigns:
- Collecting documents from many recipients
Businesses that need contracts, IDs, tax forms, invoices, applications, resumes, or other documents from multiple people can include one File Request button in the campaign. Each recipient gets a simple way to upload files without needing a Google account or special access to your Google Drive.
- Adding file collection to automated follow-up sequences
If a recipient does not upload the required file after the first email, a Gmail Auto Follow Up campaign can send reminder emails that include the same File Request link. This helps automate the process of collecting missing documents without manually sending follow-up messages.
- Collecting project deliverables from vendors or freelancers
Agencies, marketing teams, design teams, and project managers can use campaign emails to request files such as screenshots, creative assets, reports, videos, spreadsheets, or completed deliverables. The File Request link gives external collaborators a direct upload path without requiring them to share folders or send large attachments.
- Standardizing upload instructions across campaigns
Adding a File Request button to your email template ensures that every recipient receives the same upload instructions and the same upload link. This reduces confusion and helps make the file collection process consistent across email campaigns.
How to add File Request to a campaign
Follow these steps to add a File Request link to a MailKing or Gmail Auto Follow Up campaign:
- Create a File Request link
Go to your File Request dashboard here: https://www.cloudhq.net/main_gmail_file_request. Create a new File Request and choose the Google Drive folder where uploaded files should be saved.
- Copy the File Request link
After the File Request is created, copy the upload link. This is the link that recipients will click in your campaign email to upload their files.
- Add the link to your campaign template
Open your MailKing or Gmail Auto Follow Up campaign editor and edit the email template. Insert the File Request link as a button or text link, such as Upload your files here, Submit documents, or Send files securely.
- Send a test campaign
Before sending the campaign to your recipients, send a test email to yourself and click the File Request button or link. Verify that the upload page opens correctly and that files are saved to the correct Google Drive folder.
