How does File Request for Gmail work?

You create a file request link from your Gmail compose window by selecting a Google Drive folder and naming your request. The link is inserted into your email. When a recipient clicks the link, they see an upload page where they can drag and drop files. The files are saved directly to your Google Drive folder.

Where exactly are uploaded files stored in my Google Drive?

Files are stored in a “File Requests” folder in your Google Drive, inside a subfolder named after your request title. For example: Google Drive > File Requests > Tax Documents 2026. This folder structure is created automatically when you create your first file request.

How are uploaded files named?

Each uploaded file is automatically named with the sender’s first name, last name, and original filename. For example, if John Doe uploads “contract.pdf”, it will appear as “John-Doe-contract.pdf” in your Google Drive so you can easily identify who sent what.

Who owns the uploaded files?

You do. All files are uploaded to your Google Drive using your account credentials. The recipient never gets access to your Drive. The files belong to you and are stored in your Google Drive storage.

Do recipients need to create an account to upload files?

No. The upload page is completely public. Recipients just enter their name and email, then drag and drop their files. No Google account, no cloudHQ account, and no sign-up required. It works in any browser on any device.

Will I know when someone uploads a file?

Yes. You receive an email notification with the person’s name, the files they uploaded, and a direct link to the Google Drive folder. The recipient also receives a confirmation email that their files were delivered.

Can I reuse the same file request link?

Yes. When composing a new email, click the File Request button and choose “Insert Existing File Request” to select from your previously created links. Multiple people can upload to the same request link.

Can I stop a file request from accepting new uploads?

Yes. From your dashboard, you can pause or close any file request at any time. You can also reopen it later if needed.

Is there a file size limit?

The default limit is 25 MB per file. This can be adjusted in your settings. The total storage available depends on your Google Drive storage quota.

Can I choose a Shared Google Drive as the destination?

Yes. When creating a file request, the folder picker shows both your personal Google Drive and any Shared Drives you have access to. Files uploaded by recipients will go directly into the Shared Drive folder you selected.
