Introduction
Several Gmail accounts can be brought together into one Gmail account. It helps when two companies merge, when an old address is closed, or when you want to read all your mail in a single mailbox. cloudHQ copies the emails, the labels and the dates, and it keeps copying new emails while you go on using the old addresses.
How it works
You set up one migration pair for each source account, and every pair uses the same destination account:
Gmail (account1@source1.com) -> Gmail (account@target.com) Gmail (account2@source2.com) -> Gmail (account@target.com) Gmail (account3@source3.com) -> Gmail (account@target.com)
Each pair runs on its own. You can add the next source account whenever you like.
Step-by-step
- Create the first pair. For the first source account, work through the steps in How to migrate all emails from one Gmail account to another. Pick the Gmail account you want to keep as the target.
- Create the second pair. Once the first pair is running, open the wizard again. Pick the second source account and the same target account, then select Backup or migration of all Gmail emails.
- Repeat for every source account. Go through this once more for each remaining source account. Each Gmail account has to be authorized one time.
- Check the target account. Labels, dates and flags should show up there the same way they do in the source accounts.
What it costs in users
When you run a one-way migration, the source account is the only one that counts as a user. The target account doesn’t count. That means you pay for the accounts you copy from, and the account you copy into is not counted. Take a look at What is a user in cloudHQ Business Plan? and at the pricing page.
Good to know
- Anything you send from a source account lands in a label called Sent from (source email address). That way you can see which account it came from. For more detail, open Understanding Gmail Sent label.
- The migration keeps running. As long as the pair is active, new emails that arrive in a source account get copied to the target.
- Make sure the target account has enough free Google storage to hold every email from every source account.
- Once all emails are copied and you don’t use the old addresses anymore, you can stop the pairs or delete them.
