What is Gmail Inbox Checker?

Gmail Inbox Checker is a browser extension by cloudHQ that puts your Gmail inbox on the browser toolbar. The number on its icon shows how many unread emails you have, a desktop notification with a sound tells you when a new email arrives, and a click on the icon opens a popup with your newest unread emails. It checks every Google account you are signed in to in the browser, also while Gmail is closed.

How do I install Gmail Inbox Checker?

Open Gmail Inbox Checker on the Chrome Web Store and click Add to Chrome, or on Microsoft Edge Add-ons in Microsoft Edge and click Get. After the install, the settings page opens with the Welcome to Inbox Checker card, which takes you through signing in, pinning the icon to the toolbar and a test notification. The getting started note shows every step.

Do I need a cloudHQ account?

Yes. Gmail Inbox Checker needs a free cloudHQ account and does not check your email until you sign in. Click the icon on the toolbar, then Sign up free, or Already have a cloudHQ account? Sign in if you have one, and sign in with your Google account. Your free trial with every feature starts when you sign in.

Do I need to keep Gmail open?

No. Gmail Inbox Checker checks your inbox in the background while the browser is open, so the number on the icon, the notifications and the popup work with every Gmail tab closed.

Which Gmail accounts does it check?

Every Google account you are signed in to in the same browser profile. Gmail Inbox Checker finds them by itself, and you do not add them by hand. To stop checking one of them, open Accounts on the settings page and turn off its Watch switch.

Does it work with Google Workspace accounts?

Yes. Gmail Inbox Checker checks a Google Workspace account the same way as a gmail.com account: sign in to it in the browser, and it is found and checked like your other accounts. In the popup and on the settings page, gmail.com accounts are listed first, then the other accounts in the order you signed in to them.

Why is one of my accounts missing?

Gmail Inbox Checker sees only the accounts you are signed in to in this browser profile. Sign in to Gmail with the missing account in this profile, then open Accounts on the settings page and click the round arrow to the right of Google accounts (Refresh accounts). An account that shows Signed out of Google was signed out of Gmail: click its Sign in button and sign in again to keep watching that inbox.

What does the number on the toolbar icon mean?

It is the number of unread emails in the inboxes of all the accounts you watch, added together. You can turn it off or change its color under Button & popup on the settings page (Show unread count on the toolbar button and Badge color). A gray ! instead of the number means that every watched account is signed out of Google.

How often does Gmail Inbox Checker check for new email?

Every minute. You can change it in Check for new mail every under Accounts on the settings page: 30 seconds, 1 minute, 2 minutes, 5 minutes or 15 minutes. To check right away, click Check now at the bottom of the popup.

Why don't I see any notifications?

Click Send test notification under Notifications on the settings page. If the popup or the settings page says Chrome is blocking notifications for Inbox Checker, click Fix or Open Chrome settings and allow notifications. If the test notification is sent but nothing appears, notifications of the browser are turned off in the system: on Windows, check the notification settings and Focus assist for Google Chrome; on a Mac, check System Settings, Notifications, Google Chrome, and turn off Do Not Disturb or Focus. Also check that Desktop notifications is on, that notifications are not paused in the popup, and that quiet hours are not on. No notification appears while a Gmail tab of that account is the tab you are looking at (Don’t notify while a Gmail tab is active) or while a window is fullscreen (Pause while a window is fullscreen).

Why didn't I get a notification for an email that was already unread?

Gmail Inbox Checker notifies only about new emails. The emails that were unread when it started checking are counted and listed in the popup, but they do not notify, so an install never fills your screen with old emails. An older email that you mark as unread again, or move back to the inbox, is also counted without a notification.

Can I hide the sender and the subject in notifications?

Yes. Under Notifications on the settings page, set Show in the notification to Private. A notification then shows only “New email in Inbox”. The other choices are Sender, Sender + subject and + preview, which adds the first line of the message.

Can I change or turn off the notification sound?

Yes. Under Notifications on the settings page, pick Chime, Ding, Pop, Bell, Soft or Off in Notification sound, or choose Upload your own… to use your own mp3 file (under 2 MB). Each account can also have its own sound: open Accounts, click the account and set Sound for this account.

How do I pause notifications?

Click the bell icon at the top of the popup and choose 30 min, 1 hour or until tomorrow 8:00; Resume ends the pause early. For a fixed time every week, open Quiet hours on the settings page, turn on Quiet hours on a schedule and set the time and the days. The number on the icon keeps updating while notifications are paused.

Can a click on the icon open Gmail instead of the popup?

Yes. Open Button & popup on the settings page and set Clicking the toolbar button to Open Gmail. To get the popup back, choose Open the Inbox Checker popup there; while Open Gmail is chosen, the settings page opens from the menu that appears when you right-click the icon.

Can I save an email as PDF from the popup?

Yes. Move the mouse over the email in the popup and click the Save to PDF icon. The email opens in Gmail and the save dialog of the Save Emails to PDF by cloudHQ extension starts. If that extension is not installed, a dialog in Gmail offers to install it.

What happens when my free trial ends?

Gmail Inbox Checker pauses: there are no new-email notifications, no number on the icon and no list in the popup until you upgrade. The popup shows Your free trial has ended with an Upgrade button. After the upgrade, it starts checking again as soon as you open the popup or Gmail. The Account & plan section of the settings page shows how many days of the trial are left.

How much does Gmail Inbox Checker cost?

The current plans, prices and the free trial of Gmail Inbox Checker are on the pricing page of the app.

Is my email sent to cloudHQ?

No. Gmail Inbox Checker reads your inbox in your browser, through the Google sign-in you already have there, so it does not ask for access to your Google account. Your emails stay in your browser; the extension only asks cloudHQ whether your cloudHQ account is signed in and how your trial stands.
