HubSpot is a widely used CRM platform. It includes tools for marketing, sales, customer service, operations, and website building.

This guide shows you how to use Multi Email Forward by cloudHQ to send all your old emails to HubSpot CRM. The forwarding happens automatically in the cloud, so your PC or Mac does not need to be on.

What does it mean to log emails in a CRM?

Many CRMs, like HubSpot, let you save sent or received emails inside the CRM. In HubSpot, logged emails include the message and any attachments. Each email will be linked to the contact, their company, and their five most recent open deals. This helps you keep all information in one safe place in your CRM.

Why should you log your old emails in your CRM?

When you begin using HubSpot, it’s important to log your old emails, even those sent or received before you started using HubSpot. This gives you a complete history of your communication with each contact.

How to use Multi Email Forward to log old emails to HubSpot

To log your old emails to HubSpot, set up two email forwards:

  1. Forward your sent emails. For this forward, turn on the preserve metadata option.
  2. Forward all your received emails. For this forward, turn off the preserve metadata option.

So here are step by step instructions how to do that:

  1. STEP 1: Find your HubSpot BCC and forwarding email addresses.

    • Sent emails should go to the HubSpot BCC address, with preserve metadata enabled.
    • Received emails should go to the HubSpot forwarding address, with preserve metadata disabled.

  2. STEP 2: Forward your sent emails. Sent emails must go to the BCC address with preserve metadata on.

    • Go to your Gmail Sent folder and select the emails you want to log. Click Multi Email Forward and choose Forward selected emails individually:

    • Enter your HubSpot BCC email address and press Enter or Tab so it turns blue. Make sure Preserve metadata is checked. Then click Forward Emails:
  3. STEP 3: Forward your received emails. Received emails should go to the forwarding address, with preserve metadata off.

    • Go to your Gmail inbox and select the emails you want to log. You can also filter emails with the Gmail filter “to:me” to get all emails sent to you. Click Multi Email Forward and choose Forward selected emails individually:

    • Enter your HubSpot forwarding email address and press Enter or Tab so it turns blue. Make sure Preserve metadata is NOT checked. Then click Forward Emails:
  4. STEP 4: Go to your Multi Email Forward for Gmail dashboard to check the progress.
