Introduction
Migrating from Hiver to cloudHQ Email and Label Sharing is easy.
There are two approaches to migrate your Hiver label sharing to cloudHQ:
- The first approach is to leave labels as they are and share them via cloudHQ.
- The second approach is to reorganize labels so all shared labels are sub-labels under one main label you share. This is better in the long term because you don’t need to touch cloudHQ when you want to share a new label: just create a sub-label and it will be shared.
Approach 1: Share the Existing Labels
Hiver does not share sub-labels, so it uses a flat label structure. For example:
|-- Label 1 |-- Label 2 |-- Label 3 |-- Label 4 |-- Label 5 |-- ...
To migrate to cloudHQ, you only need to re-share the existing label through cloudHQ. It’s that simple.
If you are the Google Workspace admin, do this:
- Ensure that Hiver is not sharing these label any more. Sharing of labels with multiple systems can create duplicate emails/
- Install cloudHQ on your Google Workspace. Instructions: How to install cloudHQ to your Google Workspace domain
- After everything is installed, go to the cloudHQ Share tab and share the label. cloudHQ uses a “share owner” (similar to Google Drive, where each folder has an owner/creator). To recreate a share for Label 1 between alice@acme.com, bob@acme.com, and cathy@acme.com, do this:
- Optionally, install the Label Sharing for Gmail browser extension on these users’ browsers. Instructions: How to install cloudHQ extensions on your employees’ Chrome browsers. The Label Sharing for Gmail by cloudHQ extension ID is: pmmaemmobdmccnfepmkckendmealjapo.
Approach 2: Reorganize Labels and Share Them via cloudHQ
This approach is better in the long term because you don’t need to interact with cloudHQ when you want to share a new label. Just create a sub-label and it will be shared.
Reorganize labels into a hierarchy (move them into a dedicated top level label), then set up cloudHQ Label Sharing for that top level label. cloudHQ will automatically catalog existing emails and labels.
STEP 1: Reorganize Your Labels into a Hierarchical Structure
Hiver uses a flat label structure. For example:
|-- Label 1 |-- Label 2 |-- Label 3 |-- Label 4 |-- Label 5 |-- ...
For cloudHQ, organize labels into a hierarchy:
|-- Shared Labels | | | |-- Label 1 | |-- Label 2 | |-- Label 3 | |-- Label 4 | |-- Label 5 | |-- ...
- Create a label called Shared Labels
- For each top-level label (for example, Label 1, Label 2, etc.) that was shared in Hiver, change its parent label to Shared Labels:
Here are support notes on how to organize your labels and sub-labels:
STEP 2: Share the Top-Level Label(s) with Your Team
After you reorganize labels into a hierarchy, share the top-level label (in this example, Shared Labels). cloudHQ will automatically catalog existing emails and labels.
If you have a large team and you are the Google Workspace admin, set this up from the cloudHQ admin console as described here.
For small teams, you can share labels using our web interface or via our Google Chrome extension as described here.
