Introduction

This guide shows you how to manage your cross-cloud folder shares: how to see who is a member of a share, how to invite more people, how to remove a user, how to stop sharing a folder, and how to leave a share you were invited to.

All of this is done from one place: your cloudHQ sharing dashboard, on the Cross-Cloud Folder Sharing tab. The tab lists all your cross-cloud shares: the folders you shared with others and the folders others shared with you.

How to See the Members of a Share

Here is how to see who is a member of a shared folder:

  1. Go to your cloudHQ sharing dashboard and open the Cross-Cloud Folder Sharing tab.
  2. Find the shared folder in the list. If you are the owner of the share, the folder row also shows a short summary, for example “3 members, 1 pending”.

  3. Click the folder row to expand it. You will see the list of all members with their role:
    • Owner: the person who shared the folder.
    • Member: a person who accepted the invitation. Their folder is in sync with the shared folder.
    • Pending: a person who was invited but has not accepted the invitation yet.

How to Add More People, Remove a User, or Unshare a Folder

Only the owner of the share can add or remove users and unshare the folder. Expand your shared folder in the Cross-Cloud Folder Sharing tab, and then:

To add more people:

  1. Click the Add more people button under the member list.
  2. Enter the email addresses of the people you want to invite, separated by commas, semicolons, or spaces, and add an optional message. A folder can be shared with up to 5 users in total (the users the folder is already shared with are counted against this limit).
  3. Click Send Invites. Each person will receive an email invitation.

Tip: next to a pending invitation you can also click Reinvite to send the invitation email again, or Copy link to copy the invitation link and send it to the person yourself (for example over chat).

To remove a user:

  1. Find the user in the member list and click Remove.
  2. Confirm the removal. The sync with the user’s folder stops immediately. The files which were already synced to the user’s folder are not deleted, but the user will not receive any new files or changes anymore.

To unshare the folder from all users:

  1. Click the Unshare folder button under the member list.
  2. Confirm. The sharing stops for all members and the share is removed from the list. Nothing is deleted: everybody keeps the files which are already in their cloud account, but the folders are not kept in sync anymore.

How to Leave a Share

If a folder was shared with you and you do not want to participate in the share anymore, you can leave it at any time:

  1. Go to your cloudHQ sharing dashboard and open the Cross-Cloud Folder Sharing tab.
  2. Expand the shared folder and click Leave next to your name (or the Leave the share button under the member list).
  3. Confirm. The sync with your folder stops immediately. The files which are already in your folder stay in your cloud account, but you will not receive any new files or changes anymore.

If you received an invitation but you do not want to accept it, expand the share and click Decline. If you change your mind later, ask the owner of the share to send you a new invitation.
