What is Cross-Cloud Folder Sharing? How does it work?
Cross-Cloud Folder Sharing by cloudHQ lets you share a folder with people who use a different cloud storage service than you. For example, you can keep your files in SharePoint and share a folder with a partner who only uses Google Drive. Your partner sees the folder in their Google Drive, and you keep working in SharePoint. Nobody needs to switch to a new cloud service.
Here is how it works: cloudHQ creates a sync pair between the two cloud accounts and keeps the two folders 100% in sync. When you add or change a file in your folder, the same change appears in the folder of the person you shared with. When they add or change a file, the change appears in your folder. The sync is continuous and runs in the background.
Cross-Cloud Folder Sharing works with Google Drive, Google Shared Drives, Dropbox, Box, Microsoft SharePoint, Microsoft OneDrive, Egnyte, and Amazon S3. For a full introduction, see Getting Started with Cross-Cloud Folder Sharing.
What is your privacy policy?
cloudHQ is committed to protecting your privacy. Our policy is straightforward: we will not share any information you provide with anyone else, and we will use it only when strictly necessary to deliver our service. We do not share your information with advertisers or third parties. We never store your data on our servers, and all of your data is secured and encrypted, both at rest and in transit. Is my data secure?
Yes. Your files are copied directly between your cloud accounts and the cloud accounts of the people you share with. cloudHQ does not keep a copy of your files on its servers. All data transfers are encrypted.
Is this feature free? What do I need?
Cross-Cloud Folder Sharing is part of the cloudHQ Business Plan. Here is what that means in practice:
- To share a folder you need the cloudHQ Business Plan. If you are on the free plan, a Business Plan trial is activated for you, so you can try the feature before you decide.
- To accept a shared folder you do not need a paid plan. The people you invite just need a free cloudHQ account and a cloud storage account (Google Drive, Dropbox, OneDrive, and so on) where the shared folder will be synced.
To keep cross-cloud folder sharing fast and reliable, a folder can currently be shared with up to 5 users. This limit will be raised in the future.
How do I create a share?
Creating a share takes just a few minutes:
- Go to your cloudHQ sharing dashboard, open the Cross-Cloud Folder Sharing tab, and click Share a Folder.
- Select the folder you want to share from your cloud account. If your cloud account is not listed yet, click Authorize a Cloud Account to add it. cloudHQ will verify that it has full access to the folder.
- Enter the email addresses of the people you want to share the folder with (up to 5 users), add an optional message, and click Share Folder.
Each person you invited will receive an email invitation with a link to accept the shared folder.
How do I accept a share?
When somebody shares a folder with you, you will receive an email invitation. To accept it:
- Open the invitation email and click the link. Always check who sent the invitation: the email shows the name and the email address of the sender.
- Log in to your cloudHQ account. If you do not have one yet, you will be asked to create a free account first.
- Select the cloud service and the folder where the shared folder will be synced. This can be a different cloud service than the one used by the sender. We recommend creating a new empty folder for the shared content. If you have no cloud account authorized with cloudHQ yet, you will be asked to authorize one first.
- Click Accept Shared Folder.
The sync starts immediately. All files shared with you will appear in the folder you selected, and files you add or change will appear on the sender’s side too.
How can I monitor and manage my shares?
Go to your cloudHQ sharing dashboard and open the Cross-Cloud Folder Sharing tab. There you can see all your shared folders: the folders you shared with others and the folders others shared with you. For each share you can see its members and their status (owner, member, or pending invitation).
If you are the owner of a share, you can add more people, resend or copy an invitation link, remove a user, or unshare the folder from all users. If you were invited to a share, you can accept or decline a pending invitation, or leave the share at any time.
To monitor the file replication itself, open Sync Events: it shows what was copied, when, and whether there are any issues.
