Introduction

Secure Document Sharing by cloudHQ lets you share Google Drive™ files using secure download links with password protection, expiration dates, and access tracking. Each secure share can include activity stats that show how recipients interacted with your download page.

These stats are important because they help you confirm whether the intended recipient actually opened or downloaded the file. For example, if you sent a contract, report, proposal, or confidential document, you can check whether the recipient accessed it and when the download happened.

Secure Document Sharing stats can also help you identify unusual or suspicious activity. For example, you can review access from unexpected locations, repeated visits, unfamiliar IP addresses, or failed password attempts. This gives you better visibility into what happens after you send a secure document link.

Use Cases

Here are common reasons to check the stats and usage activity for your Secure Document Sharing links:

  1. Confirm that a recipient downloaded the file

If you send a contract, invoice, proposal, HR document, legal file, or client report, stats help you verify whether the recipient opened the secure share and downloaded the document.

  2. Identify unusual access activity

Secure share stats can help you spot suspicious activity, such as repeated visits, unexpected locations, unfamiliar IP addresses, or access attempts that do not match the recipient you expected.

  3. Review failed password attempts

If your secure share requires a password, the activity report can help you see whether someone entered the wrong password or tried to access the file without the correct credentials.

  4. Create an audit trail for sensitive files

For legal, financial, HR, healthcare, and business documents, stats provide a useful record of when the secure share was accessed, where it was accessed from, and what action was performed.

  5. Monitor secure shares sent by your team

Teams and Google Workspace™ administrators can use activity stats to understand how secure document links are being used and to review sharing activity across users.

How to access your Secure Document Sharing stats

Follow these steps to access the stats for your Secure Document Sharing links:

  1. Go to your Secure Document Sharing dashboard

Open your Secure Document Sharing dashboard here:
    https://www.cloudhq.net/main_secure_share

  2. Find the secure share you want to review

In the dashboard, locate the secure share whose activity you want to check. This is the secure document link that was sent to your recipient.

  3. Click the info icon

Click the info icon next to the secure share to open the activity and stats view for that share.

  4. Review the activity and usage stats

You will see usage stats for your secure share, including details such as the IP address that visited the link, approximate visitor location, time and date of the activity, password status, and the action performed, such as view, download, or failed password attempt.

Reviewing these stats helps you confirm that your file was accessed by the right person and gives you a clearer record of what happened after the secure document link was sent.
