Introduction

When you convert email messages to PDF, you can specify the following options:

Add Page Numbers

When this option is enabled, the PDF files will have a page number at the bottom of each page.

Embed Email Attachments Inside PDF File

When this option is enabled, attachments will be embedded into the PDF. The following attachments can be embedded into the PDF:
– MS Office Word
– MS Office Excel
– PDF
– Image
– Txt or HTML attachment

For example, if you have an email message with one PDF attachment, a PDF document will be created that contains: 1) the email body and 2) the PDF attachment.

Add Attachments to ZIP File Next to Generated PDF File

When this option is enabled, attachments will always be added to a ZIP file. For example, if an email message has a photo attachment, that photo will be added as a separate file (even if the attachment is also embedded inside the PDF with the message body).

Compact Format

When this option is enabled, the PDF will be created, but all unnecessary information will be removed:

  1. All quoted text will be stripped from replies and forwards.
  2. All signatures will be removed.
  3. Page breaks between emails will be removed.
  4. All other redundant information, like multiple newlines and empty tables, will be removed.

When should I use compact format?
Use compact format when you need to export multiple email conversations with someone for court or to send to your lawyer, but you only need the main message content. Compact format removes old quoted replies, signatures, and extra information, making the PDF shorter and easier to read. It is especially useful if you have sorting and the Group emails into conversations option enabled. In this case, cloudHQ first groups your emails into conversations, removes old quoted messages, and then sorts the conversations.

Page Break After Each Message

When merging emails into one PDF, a page break will be inserted after each message.

Group Emails into Conversations

Group emails of the same topic together.

  • On: When this option is enabled, emails of the same topic will be grouped together:

    1. Sorting will sort conversations and not individual messages.
    2. You cannot select the option Each message in a separate PDF.
  • Off: When this option is disabled, emails of the same topic will NOT be grouped together:

    1. Sorting will sort individual messages.
    2. You can select the option Each message in a separate PDF.

When should I use the Group emails into conversations option?
Turn on this option if you want emails from the same thread to stay together. This lets you view all replies and related messages in one group, making it easier to follow the conversation in the PDF.

Encrypt Your PDFs with Password

When this option is enabled, the generated PDF will be encrypted with a password.
