Save Emails to PDF allows you to convert any email into a PDF file or add it to an existing PDF file.
Differences between Save Emails as PDF add-on and chrome extension
The benefits of the workspace add-on include:
- An admin can install the add-on for all employees, so they don’t have to install the Chrome extension themselves.
- You can convert emails to PDFs using a mobile phone.
- You can add emails to an existing PDF file.
However, the workspace add-on does not support exporting an entire email label to PDF or performing other complex exports. For these more advanced PDF conversions of your emails, you will need to use our Chrome extension or our wizard.
How to install Save Emails as PDF workspace add-on
Here’s how to get the Save Emails as PDF workspace add-on:
- Sign into your Google Gmail account.
- Visit the Save Emails as PDF add-on page on Google Workspace Marketplace by clicking here. Then, click on Install or Domain Install. If you’re the admin of your Google Workspace domain, choosing Domain Install will make the add-on available to all your Google Workspace users.
- Once the Save Emails as PDF add-on is installed, open your Gmail. If you’re on a mobile device, restart your Gmail app by closing it.
How to save your email as a PDF document on mobile
To convert an email into a PDF file on your phone, follow these steps:
- Launch the Gmail app.
- Select the email you want to convert to PDF.
- Scroll to the bottom and tap the Save Emails as PDF icon. The PDF icon is located in this icon row, near the “Available add-ons” section. It is represented by a document image with “PDF” written on it.
- Choose whether to save the email as a new PDF or add it to an existing one.
- The first option is the Save email to a new PDF
- The second option is the Append email to an existing PDF
- Once saved, tap the Download button to download your document.
- To share created PDF, tap to Share button.
- When you tap Share, you’ll be given a link to your PDF. Tap here to copy your link!
- You can easily share your PDF link by pasting it in a group messaging app or sending a text:
- For settings or to see all saved PDFs, tap on the three dots and select Settings or Dashboard.
How to save your email as a PDF document (or append it the existing PDF document) on desktop
To save an email as a PDF on your computer, follow these steps:
- Go to Gmail in your web browser and sign in.
- Open the email you want to save as a PDF.
- Click the Save Emails as PDF icon on the right side of the window.
- Decide whether to save it as a new PDF or add it to an existing one.
- Click the Download button after saving.
- To adjust settings or view all your PDF documents, click on the three dots and choose Settings or Dashboard.
