Installing Share Emails via URL Link workspace add-on

Here’s how to get the Share Emails via URL Link workspace add-on :

  1. Sign into your Google Gmail account.
  2. Visit the Share Emails via URL Link add-on page on Google Workspace Marketplace by clicking here. Then, click on Individual Install or Domain Install. If you’re the admin of your Google Workspace domain, choosing Domain Install will make the add-on available to all your Google Workspace users.
  3. Once the Share Emails via URL Link add-on is installed, open your Gmail. If you’re on a mobile device, restart your Gmail app by closing it.

How to Share Emails via URL Link on mobile

To share emails via URL on your mobile device, proceed as follows:

  1. Launch the Gmail app.
  2. Open the email you wish to share via URL.
  3. Scroll down to the bottom of your email screen on your mobile device. At the lower right corner, you’ll find the icon “Share Emails via URL“. Tap on this icon to proceed.
  4. After you tap on the “Share Emails via URL Link” option at the bottom of your email screen, a new option will appear. This is labeled “Create shareable url link” and is positioned as a button. Tap on this button, which is located at the bottom center of your screen on mobile device, to generate a shareable URL link of your email.
  5. Once you have created the shareable URL link, a new button labeled “Share the link” will appear. This button is found near the bottom of your screen on your mmobile device, within the same area where you previously interacted to create the link. Tap on the “Share the link” button to proceed with sharing your newly created URL link.
  6. Your email is now ready to be shared as a URL link. To do this, look for the button labeled “Copy to clipboard” which is prominently displayed in a banner just above your email content. This button is located towards the top of your screen. Tap on the “Copy to clipboard” button to save the URL link to your clipboard, allowing you to paste and share it anywhere you’d like.
  7. For additional options related to your shared URL link, locate the “Settings” button, which is positioned right next to the “Copy to clipboard” button at the top of your screen. Tap on “Settings” to adjust preferences or settings for the URL link you have created..
  8. In the “Settings” menu for your shared URL link, you have two security options. You can either disable the link on a specific date or protect it with a password for added security.
    • Disable this link on a specific date
    • Protect this link with a password

    To set these options, tap on the checkbox next to “Disable this link on a specific date” to choose a date for the link to expire, or check “Protect this link with a password” and enter a password. This ensures your shared URL link is accessed only as intended.

How to Share Emails via URL Link on desktop

  1. Start by opening your web browser and signing into your Gmail account on your desktop computer. Once you are logged in and have your emails displayed, look for the “Share Emails via URL Link” feature, which can typically be found as an add-on icon on the right sidebar of your Gmail interface. Click on the icon “Share Emails via URL Link” to begin creating a shareable URL link for the selected email.
  2. After clicking on the icon “Share Emails via URL Link“, you will see the “Share Emails via URL Link” pane. In this pane, there is a button labeled “Create Shareable URL Link.” Click this button to generate a URL that you can share, which links directly to this specific email.
  3. After creating the shareable URL link for your email, the “Share Emails via URL Link” pane will update to display the newly created link. A new button labeled “Share the link” will appear below the link notification. Click on this button to begin the process of sharing your URL. This will allow you to easily distribute the link through various methods, such as copying it to the clipboard or sending it directly through email or messaging apps.
  4. Your email is now successfully converted into a shareable URL link. At the top of the email display, you’ll see a notification that “You are sharing this email.” You can further manage this shareable link by using the “Copy to clipboard” button to easily copy the URL link for pasting elsewhere. Alternatively, click “Settings” to adjust additional settings like link access permissions or expiry.
  5. After creating your shareable URL link, you have the option to adjust its settings for additional control. At the top of the email window where the message about sharing is displayed, there are two buttons. Click on the “Settings” button, which is located right next to the “Copy to clipboard” button, to open a menu where you can set permissions, expiration dates, and other preferences related to the sharing of this email link.
  6. Within the “Settings” menu for your shared email URL link, you have additional security options.
    • Disable this link on a specific date
    • Protect this link with a password

    You can either disable the link on a specific date or protect it with a password. To set these options, check the appropriate box next to “Disable this link on a specific date” to choose when the link should expire, or “Protect this link with a password” to add a password requirement for access. Be sure to click “Save Changes” to apply any settings you select.
